Managing Your Context

My Context lets you provide personal information that the AI assistant uses to give you more relevant, personalized answers. Instead of asking you the same questions repeatedly, the assistant can reference your stored details automatically.

What is My Context

My Context is a set of entries you control. Each entry contains a piece of personal information, such as your name, preferred language, department, or job role. When you interact with the AI assistant, this context is included in the conversation to produce more accurate and tailored responses.

note

You are always in control. You decide what information to add, and you can edit or delete any entry at any time.

Getting started

When you first visit My Context, you'll see an onboarding section with suggestions to get you started:

  • "My name is...": Help the assistant address you properly
  • "I work at... as a...": Give context about your role and organization
  • "My preferred language is...": Get responses in your preferred language

Adding even a few entries significantly improves the quality of the assistant's responses.

Categories

Your information is organized into categories to keep things structured:

CategoryExamples
PersonalName, employee ID, preferred language, job title
AddressOffice location, mailing address, city, country
PaymentCost center, billing reference, budget code
PreferencesCommunication style, notification preferences, timezone
WorkDepartment, team, manager, project assignments
OtherAny context that doesn't fit the above categories

Context Types

Each entry has a context type that controls when the AI assistant uses it:

Always Present

Entries marked as Always Present are included in every AI interaction automatically. Use this for context that is almost always relevant, such as:

  • Your name and role
  • Your department
  • Your preferred language

On Demand

Entries marked as On Demand are only included when the AI determines they are relevant to your current question. Use this for context that is situational, such as:

  • Your office address (relevant for location-based questions)
  • Payment details (relevant for billing or procurement questions)
  • Project-specific information
tip

Start with On Demand for most entries. Only mark something as Always Present if it genuinely helps in nearly every interaction.

Adding entries

  1. Navigate to My Context in the sidebar
  2. Click Add
  3. Write the information you want to save (free-form text)
  4. Choose the context type: Always Present or On Demand
  5. Click Save

The assistant automatically categorizes and summarizes your entry.

An entry holds at most 2,000 characters and an account at most 200 entries. Both limits refuse the save and say so, rather than trimming quietly.

Editing and deleting entries

  • Click the Edit button on any entry to update it
  • Click the Delete button to remove it (with confirmation)
  • Use the toggle button to quickly switch between Always Present and On Demand

Privacy

Read this section before you write anything here. Entries marked Always Present are sent to an AI provider on every turn, and the default provider processes outside the EU.

Where an entry goes

An Always Present entry is part of the system prompt of every question you ask, whatever the question is about. Up to 20 entries and 2,000 characters fit; past that, the oldest are dropped and My Context tells you how many did not fit. A single entry longer than 400 characters is cut at that point for the prompt, though the entry itself keeps everything you wrote.

Which provider receives them depends on how you are using Appilot. In the browser extension the turn runs under your own organization, so your organization's provider gets them. In a widget embedded in someone else's site, the turn runs under the organization that operates that site, so their provider gets them. On the default configuration the provider is DeepSeek, and during the closed beta that means DeepSeek's managed API, which processes in China. The Privacy Policy sets out what that means and why we chose an open-weights engine.

An On Demand entry stays out of the prompt. The assistant can reach it only by calling a search over your context, and only when it judges the entry relevant to what you asked.

How it is stored

Your entries are stored as ordinary text in the Appilot database, in a column that is not separately encrypted. Traffic to and from the database is encrypted in transit, and the hosting provider encrypts its disks, but nobody with database access needs a second key to read what you wrote. Treat this field the way you would treat a note in a shared work system: your name, your role, your department and your language preference belong here; a password, a bank account or a health detail does not.

Who can read it

  • Other users cannot. Your entries are used only in your own interactions.
  • Organization admins cannot read the values. Every turn stores a snapshot of its prompt for administrators to inspect, and your context entries are replaced in that snapshot with [redacted personal detail, N characters] before it is written. The count and the length survive; the content does not.
  • The AI provider receives the Always Present entries as part of the prompt, which is the point of the feature.
  • If the assistant repeats something from your context in an answer, that answer is stored as conversation history like any other, and an administrator reviewing the conversation sees it there.

Deleting it

Delete any entry from My Context and it is gone. Delete your account and everything here goes with it. Both take effect immediately; there is no archive copy waiting out a retention period.
