Activity Monitoring

Activity Monitoring gives you visibility into how your organization's users interact with Appilot. From the Backoffice you can track adoption, identify usage patterns, and troubleshoot issues.

Overview

The Activity page in the Backoffice shows a timeline of all user interactions across your organization's registered domains. Unlike the per-user Activity page in My Account, this view aggregates activity for all users in your organization.

Activity types explained

Every user interaction is classified into a type:

Activity TypeDescription
AI QueryA user asked the AI assistant a question
Action ExecutedThe assistant carried out a step on the user's behalf
Panel Open / CloseA user opened or closed the Appilot panel

Every type here is something the user did with Appilot. Nothing records where they browsed.

Page Visit, Search, Form Interaction and Domain Visit were retired on 5 September 2026. They described navigation, search terms read off a URL, and field focus on pages the user never asked Appilot about. New writes are refused with 410 ACTIVITY_TYPE_RETIRED, and the rows already collected were deleted from user_metrics and user_context by migration users/011_purge_retired_activity_metrics.sql. The four values remain in the taxonomy so the filters still parse; no timeline will show them again.

Filters

Use filters to narrow down the activity view:

Domain filter

Select a specific domain or application to see activity only on that site. This is useful when you manage multiple web applications and want to focus on one.

Date range filter

Set a start and end date to limit the timeline. Presets like "Last 7 days" and "Last 30 days" are available for quick selection.

Metric type filter

Filter by activity type to focus on specific interactions. For example, show only AI Queries to understand how heavily the assistant is being used.

Reading the timeline

The activity timeline displays events in reverse chronological order. Each entry shows:

FieldDescription
UserThe user who performed the action
TypeThe activity type (with icon)
DomainThe website where it happened
URLThe specific page
TimestampWhen the activity occurred
DetailsAdditional context (query text, search terms, etc.)

Click on a timeline entry to see the full details, including the page URL and any associated context.

Use cases

Adoption tracking

Monitor how many users are actively engaging with Appilot. Look for:

  • Growth in daily active users
  • Increasing AI query counts over time
  • New domains appearing in activity logs

Troubleshooting

When a user reports an issue, use Activity Monitoring to:

  1. Filter by the user's email or name
  2. Find the relevant time window
  3. Review the sequence of events leading to the issue
  4. Check whether the AI query returned relevant knowledge

Identifying knowledge gaps

A high volume of AI queries on a specific domain or page signals that your knowledge base needs more content for that area, especially when those queries are followed by knowledge requests.

Understanding peak usage

Use the timeline's date range and type filters to identify when users are most active. This can inform decisions about:

  • When to schedule knowledge base updates
  • Whether additional training or onboarding is needed
  • Capacity planning for AI model usage
